This article explains how to use nCino Mortgage's Disclosure Fulfillment service to print and mail disclosure packages when borrowers haven't provided electronic consent (eConsent). This ensures borrowers receive required loan documents on time, maintaining compliance and improving the borrower experience.
Steps to resolve:
Web (Package Tool):
- Navigate to the Package Tracker in the loan file.
- Click on the package to fulfill.
- Look for the "Fulfilled Disclosure Documents" section.
- Click the Fulfill Now button to manually trigger fulfillment .
- Verify the borrower's mailing address is correct before confirming..
- The package will be sent for printing and mailing within the same business day if submitted before 1 PM MST.
Encompass:
- Open the Disclosure Tracking window in Encompass.
- Navigate to the eDisclosure History tab.
- Locate the package to fulfill.
- Check the "Disclosure Fulfillment" checkbox.
- Select either:
- "SimpleNexus Fulfillment Today" for immediate fulfillment.
- "US Mail - Mail to Borrower Today" for scheduled fulfillment.
Click "OK" to confirm and initiate the fulfillment process.
Note: Typically the "nCino Mortgage Fulfillment Today" option would not be greyed out, but if it is reach out to Support
Automatic Fulfillment Setup:
If automatic fulfillment is enabled for your company, packages will be fulfilled automatically when:
- For Initial Disclosures: 3 business days have passed since the application date and the borrower hasn't provided eConsent or viewed the documents.
- For Pre-Closing Packages: 1 calendar day has passed since the package was sent and the borrower hasn't started their tasks.
- Ensure borrower mailing addresses are accurate in the system.
- Monitor the "Mailed Disclosure Packages" report for delivery status.
What determines if a package should be auto fulfilled?
Note: Reach out to a Company Admin or Support to find out what settings are enabled for your company.
The "Fulfillment Enabled" and "Auto Fulfillment Enabled" disclosure setting is turned on by nCino Mortgage.
Any borrowers with disclosure assignments from packages that haven't e-consented when 3 business days since the application date.
If the "Auto Fulfill Unless All Borrowers Receive The Package" disclosure setting is turned on, then the system does not consider eConsent status and always marks the package for auto-fulfill. This setting means both borrowers need to access the package before the 3 day mark.
Solution:
Once fulfillment is triggered (either manually or automatically), the disclosure package will be:
- Professionally printed with a cover letter and table of contents.
- Mailed to the primary borrower's address via USPS.
- Trackable through the "Mailed Disclosure Packages" report.
- Delivered typically within 3-7 business days (domestic).
Important Notes:
- Each package costs a flat $10 fee regardless of page count.
- Packages over 60 pages (120 double-sided) will be split into multiple envelopes.
- A return label is included for borrowers to send back signed documents.
