Functionality:
The Package Details page has a lot of visibility and functionality that can be helpful to Closers, Admins, LOAs, Loan Officers, and more! This article will break down everything that can be done here.
Package Overview:
The overview page is made up of a few sections that give a summary of the information found in the rest of the tracker.
Package Details:
This section shows the loan number and package type for the package. The three dot menu at the top of the page can be used to Reset/Retract the package, depending on the permissions set up by your company. If this menu does not show the option that you need, contact a company admin; they should be able to assist you with this.
Package Progress:
On the right hand side, you will find the outline of the progress of the package as well as the timestamps of when each milestone was completed.
Loan Member Tasks:
This section shows the name, email, and role of each person on the package as well as their progress through the tasks assigned to them.
At the bottom of this section, there is also a quick link to the tasks tab to see more detail on the tasks.
LOS Tracking Entries:
The next section of the package details page shows the LOS Tracking information. If the package you are looking at is a one-off eSign document, this section will be mostly blank since it was created in the nCino Mortgage system, and not the LOS.
The banner under at the top will tell you if there are any updates that are waiting to be imported into the LOS. The Package Name is the name of the package as it shows in the LOS, which may be different than the name in the previous section. The sent section will show you who the package was sent by. Doc count will show you the count of all the documents that were sent to us from the LOS. Using the ‘Resend’ button will repush any updates on the package to the LOS, and will allow them to be imported again.
eSigning Status:
The eSigning status section shows you details about any eSignatures that are needed on the loan file.
The banner at the top will say whether or not all signatures for the package have been completed or if there are any that you are still waiting for. It then shows the signing status for each recipient with eSign tasks. If there is a specific window for the signatures, information will show under the name of each recipient. The symbols will show what kind of signatures and their status, helpful in files that include RON or eNote. Clicking "view signing details" will take you to the signing details tab to see more details on this information.
Tasks:
The Tasks tab will list every task on the package, along with the assignee, the task type, the current task status, and all pertinent dates sectioned out by each recipient.
At the top of the page there is an option to search the tasks on the left and an add recipient option on the right. For more information on adding a recipient, see Adding a Recipient to a disclosure package from the Package Tracker.
On each recipient block, you can find the following:
- First is the identifying information of the recipient. This includes the role of the recipient, their name, and the email address that was used for the package. If a borrower or recipient is saying that they cannot see the task, and their email listed here is incorrect, that would be why they cannot access. At this point, the package may need to be reset or retracted. Please contact a company admin if you are unsure which option to use.
- On the right is the send reminder button. This will send an email reminder to the recipient at the email listed to complete any uncompleted tasks.
- The Type column will show if it is an eSign task, view task, wet sign task, etc. This can give context on what the package is missing if it is unfinished.
- The Name column will tell you the name of the task. This is the same name that the task recipient will see in their portal when completing the task.
- The Status column will show detail about the current status of the task (i.e. Needs to be eSigned, eSigned, Needs to be viewed, Viewed).
- The Started On column will show the timestamp from when the task recipient started this task.
- The Completed On column will populate with a timestamp from when the task is completed.
- The three dot menu to the right of each task is where to go if you are needing to deactivate any tasks in the package. See this article for more information: Deactivating/Deleting Disclosure Package Tasks.
All of this is repeated in its own block for each recipient on the package.
Notifications:
The Notifications tab allows you to see all notifications that were sent on this package. You can use the search bar to try to find specific notifications in the log.
The three dot menu can be used to preview the notification that was sent.
Documents:
The Documents tab lists all documents that were sent on the package, individually. The View All menu at the top of this page will allow you to view all original docs or all completed docs as a zip folder or a PDF.
Each entry shows the document's name, task type, and any eSign fields that were added to the document. The three dot menu on each document allows you to view the original doc, the completed doc, or view the doc type history. The original doc is the document that was sent to us from the LOS. The completed doc will only be available once it has been signed, and will include the recipients signature if it was eSigned. Doc type history will show any signing type changes that were made to the document (ie eSign -> Wet sign).
The next sections will only show if they are applicable to the package. The ‘Replaced/Removed Docs’ tab will show if any documents have been replaced or removed from the package. Typically, you will see docs in here if a revised package was sent out, and documents were replaced or removed in that revised package. The ‘Other’ tab will have docs that are added to the package, such as the Certificate of Completion. You can download these via the 3-dot menu to the right. The ’Scanned docs’ tab will show you docs that were uploaded to the closing portal and were scanned for barcodes. You will also see the status and results of those scans in this section.
Signing Details:
The "Signing details" tab summarizes the status and allows for the management of signatures related to Hybrid, RON and eNote transactions.
Hybrid:
From the Action menu for Hybrid packages, you can modify the hybrid window (If the window is open, the signing window can be revised. Always consider redrawing the documents when dates change.) or prepare documents (Add signature points to documents. This option will read "Update Documents" if the package is already prepared).
RON:
From the action menu for RON packages, you can update documents or reset the Proof transaction.
eNote:
From the action menu for eNote packages, you can view the eNote in the Signing Room Manager or change the eNote to paper note if the eNote is no longer the best option for the loan file.
LOS tracking:
The LOS tracking tab is just a larger view of the LOS section from the overview tab.
Fulfillment:
If your company has fulfillment turned on, then this tab will be included in the package tracker. It will show you shipping information if applicable and other such details. Visit Disclosures - Manual Fulfillment for more information on this.
Summary:
The package details page has a lot of helpful information about a specific disclosure package. Most disclosure package information can be found here and can be used to troubleshoot issues or even check on the status of different aspects of the package.
