This article explains on a foundational level how documents are supposed to import from nCino Mortgage to Encompass via the encompass API.
*Important information to know about the API's handling of ANY document import (Including Disclosures)
The loan MUST NOT have anyone in it before docs will import, if the loan is locked by another user the API user will retry every 5 minutes up to 300 times before sending this notification:
nCino Mortgage Encompass API will next attempt on a 30-minute cadence for 7 more calendar days before giving up on sending information.
It's also important to note that a document can take a little over a minute to upload. That, coupled with the size of the document, loan locking, and other factors make nailing down the exact time a document will upload to a loan difficult.
Steps to resolve:
- User submits a document to a task or through the doc upload:
- Once the document is submitted it is immediately eligible for upload and the event has been sent to Encompass to be imported by our API user. *Unless you require doc review and approval in nCino
- If no one is in the file, the doc should be pulled in and placed in the eFolder location you specify in your doc import configuration. *See Below
API Doc Import Workflow Configuration:

Navigate to the Document Imports tile in Company Settings.
- Out of the Box the Default Workflow will send all borrower docs to the Unassigned folder in the File Manager in Encompass. You can also specify a specific placeholder in your eFolder for all borrower docs.

You can also specify specific placeholders for individual doc types using the Individual Workflow Document settings to Override the default workflow settings:
