Description:
This article describes how the Document Inbox functions, including what documents appear, how documents are managed when borrowers or loans are transferred between loan officers, and what actions can be taken on documents within the inbox. This is a feature only available on the web as a loan officer and can not be done in the mobile app.
Understanding the Document Inbox:
- Access your Document Inbox: Log into nCino Mortgage on the web and navigate to your Document Inbox.
- Review documents in your inbox: The Document Inbox displays all documents that meet the following criteria:
- Documents uploaded by borrowers
- Documents not linked to a disclosure package
- Documents uploaded to any loan or loan application that is currently tied to, or was previously tied to, the borrower
- Understand document persistence: Documents remain linked to your Document Inbox permanently unless they are manually deleted. Documents do not automatically transfer when a borrower's account or loan/loan application is reassigned to another loan officer.

Previewing a Document:
- Navigate to your Document Inbox.
- Locate the document you want to review.
Click on the document or select the Preview option to view the document contents.
Rejecting a Document:
- Navigate to your Document Inbox.
- Select the document(s) you want to reject.
- Click the Reject option.
- The document will be marked as rejected and the borrower may be notified to resubmit.
Downloading a Document:
- Navigate to your Document Inbox.
- Select the document(s) you want to download.
- Click the Download option.
The document(s) will be saved to your local device.
Moving a Document Between Loans:
- Navigate to your Document Inbox.
- Select the document you want to move by opening the document.
- Click the Move option.
- Select the destination loan from the available options.
- Note: This function only works if the borrower's app user account is linked to multiple active loans that are under the same loan officer. Documents can be transferred between a loan application and an active loan if both exist for the same borrower.
Confirm the move to transfer the document(s) to the selected loan.
Transferring Documents to Another Loan Officer:
If a loan file is moved from you to another loan officer in the LOS, and documents need to be transferred:
- As the original LO: Navigate to your Document Inbox, select the relevant documents, and click Download to save them to your device. Provide the downloaded documents to the new loan officer through your organization's approved file transfer method.
- As an Admin: Access the original LO's Document Inbox (if permissions allow), download the necessary documents, and deliver them to the new loan officer through your organization's approved file transfer method.
- Note: Documents do not automatically transfer between loan officers when borrower accounts or loans are reassigned in the document inbox. Manual transfer is required if those documents are needed for the new loan officer owning the loan.
Available Document Inbox Functions:
- Preview: View document contents without downloading.
- Reject: Mark documents as rejected for resubmission.
- Download: Save documents to your local device.
- Move: Transfer documents between loans (requires borrower to have multiple active loans).
Important Notes:
- Documents in your Document Inbox are permanently linked to your account unless manually deleted.
- Only documents not linked to disclosure packages appear in the Document Inbox.
- Documents do not automatically transfer when borrowers or loans are reassigned to different loan officers.
- The Move function requires the borrower to have multiple active loans or a loan application and an active loan.
- Documents can be moved between a loan application and an active loan for the same borrower.
