Description:
This is the process on how to send a document to a borrower through the nCino Mortgage system, outside of a package and without eSign points.
Steps to resolve:
This process can be done by any company employee. There is no difference in the flow between that of a Loan Officer, Team Member, or Admin. Note this does not make a "view task", and in essence is an employee creating and completing a task by uploading a document. The borrower will then have access to the document in their file.
Web:
- On the web portal, navigate to the loans page found on the left hand side of the screen.
- Find the loan file for the borrower that you are wanting to send the document and click into that loan file.
- Click on the Tasks tab near the top of the page.
- Scroll down to the borrower's task list.
- Click New Task and create a document request task of some kind on the loan following your typical flow.
- Go back to the task list for the borrower and click on the task you just created.
- In the menu that pulls over on the right side of the screen, click select files or drag and drop the file into the box. Keep in mind that our system can only upload jpg, png, or pdf files that are less than 100 MB.
- Once the file finishes uploading, the document will be available for the borrower in the documents folder of their account.
Mobile:
- Open the Mobile app and navigate to the Loans page.
- Click on Loans at the top of the screen.
- Click on the Loan file for the borrower that you are wanting to send the document.
- Scroll down in the loan file to find and click on the tasks.
- On the list of tasks, click on "Add New Task".
- In the menu that pulls up, click "send a file".
- You will then be brought to your phone's files. Find and select the document/file that you are trying to send to the borrower. Keep in mind that our system can only upload jpg, png, or pdf files that are less than 100 MB.
- On the screen that comes up after uploading the document, click where is says "send document to".
- Select the borrower's name from the drop down menu.
- Click the "Send Securely" button to send the document to the borrower.
- The document is now sent. The borrower will be able to access the document from their Documents folder on their account.
Solution:
This process should not be used for anything but small, single files. Anything larger than that should be sent as a part of a disclosure package, even a view only package. This does not create a view task, and simply adds a file to the user's loan. If choosing this work around versus sending a view tasks from the LOS, the user should be sure to communicate with the borrower.
